Bizsoftbiz vs Excel

When the spreadsheet stops being enough

Excel is where most businesses start and it is genuinely good at what it does. The problem is not the spreadsheet — it is what a spreadsheet cannot know.

Side by side

Double entryEnforced — an unbalanced entry is refusedWhatever the person typing maintained
Cost of goodsThe actual cost of the actual units sold, captured at sale timeUsually a single cost figure applied backwards
Audit trailAppend-only. Corrections are new reversing entriesA cell is overwritten and the previous value is gone
StockLive, decremented by the sale, with a movement ledgerAs current as the last time somebody updated it
FlexibilityConstrained on purposeTotal — this is why it is hard to leave
CostA subscriptionEffectively nothing, plus the hours

Comparison based on each product’s publicly documented positioning. Vendors change their offerings — check the current details with Excel before deciding.

The three things a spreadsheet cannot do

It cannot stop you unbalancing it, because it has no concept of a balanced entry. It cannot tell you what a sale actually cost you, because it does not know what the item cost on the day it sold — only what it costs now. And it cannot tell you what changed, because a corrected cell simply holds a different number and the old one is not anywhere.

What that costs in practice

Margins that look better than they are, because cost of goods was applied at today’s price. Stock figures that were right on Sunday. And a year end where a difference is found and there is no way back to when it started.

You do not lose Excel

Every statement, ledger, subledger and report in Bizsoftbiz exports to Excel with numbers kept as numbers and proper currency cell formats, and the filters you had applied written into the file. Do the analysis in a spreadsheet if that is where you think. Just stop keeping the record there.
