Invoices that look like invoices

Raise an invoice against a customer with their billing address, tax registration and payment terms, itemise it from your catalogue or free-hand, post it and send the PDF. Nothing internal appears on it — no unit costs and no ledger account codes — because it is a document that leaves the building.

Aging and chasing

Receivables aged into current, 1–30, 31–60, 61–90 and 90-plus, and any customer opened as a statement of account showing every document and payment. Credit notes reduce what is owed the moment they are posted, and are netted off the aging whether or not they have been applied to a specific invoice yet.

Paying suppliers

Vendor bills against a purchase order or coded straight to an expense account, aged the same way. A payment can settle several bills at once, withholding tax deducted at source is held as its own payable with a remittance path, and every payment carries a numbered voucher stating what the ledger did.

Cheques and the bank

Print onto your bank’s own cheque stationery with the amount spelled out correctly, keep a register that accounts for every leaf, then import the bank’s export and reconcile line by line into a standard statement of deposits in transit, outstanding cheques and unrecorded bank items.
